Products that are published to GSA Advantage must have product names and descriptions that make it easy for customers to search and identify the product.
Product names: Must contain a minimum of 3 words and cannot include the manufacturer or vendor part numbers. Since buyers search by keywords (e.g., laptop, desk, etc.), product names should be descriptive, clear, and meaningful to customers. Names have a 40-character limit.
Product descriptions: Must contain a minimum of 10 words, focus on product features and specifications, and help customers understand what the product is. Descriptions have a 1000-character limit.
- Do not include or repeat part numbers. Do not indicate part numbers comply with specific NSNs (see info on NSN).
- Avoid promotional terms and phrases (e.g., Best Deal, Limited Time Offer, Save Now, Free Shipping, Discount) that are not relevant to describing the specific product being sold.
- Best practice: Include descriptive qualities like product type, function, key features, unique uses, and specifications (e.g., color, size, material). Consider spelling out uncommon acronyms and abbreviations.
Products on GSA Advantage must:
- Include a Manufacturer Name and Part Number (including a vendor part number is optional)
- Have a clear title and description, following the stated rules above
- Include at least one picture, following the photo requirements below
- Indicate unit of measure / issue of the product (e.g. “Each”, “Box”)
- Provide a country of origin
- Provide a government price inclusive of the industrial funding fee (IFF)
- Provide terms of delivery, including origin or destination, delivery days and lead time, and delivery areas
- At a minimum, delivery to the continental 48 states is required.
- Show procurement programs you participate in, such as blanket purchase agreements, and state and local options.
- Use any applicable “green” product icons
- Be identified correctly and accurately
- Note that only offerings that can be directly ordered on GSA Advantage should be published as products. Other offerings should be published to an automated Price List via the Services Plus File.
Products on GSA Advantage may:
- Be listed as accessory items to cross-promote related products
- List product options, such as available sizes, colors, materials, or “add on” options
- Offer additional discounts such as Quantity or Volume discounts for large orders
- Provide additional product details such as product dimensions, warranty details, and product URLs
- Be listed as on sale via the Temporary Price Reduction action

Like GSA eLibrary, you should review your GSA Advantage presence regularly to make sure all of your product and/or service information is correct and that any links included in your GSA Advantage electronic catalog take the customers to the right place. Federal customers use GSA Advantage as a research tool to identify potential sources - keeping your GSA Advantage information current and complete is more than just a contractual requirement, it's good marketing!
